TAMS : Cloud-based Training Administration

Training providers can have a hard time managing their courses, especially in the modern environment of highly-mobile instructors, subcontract trainers, customers demanding instant certification and bespoke courses to devise and implement across multiple venues.

TAMS is an online tool, specifically designed over many years to deliver all this and more. Running in the cloud, TAMS is accessed through your web browser, and allows training managers to book courses, instructors to issue marks or enter new syllabuses, all in real time, and from anywhere in the world. Instructor in a hotel in Mexico? No problem. Site assessment details need updating via your smartphone? Easy.

Compentency Control

Not every instructor can teach every course, and not every venue is suitable. TAMS knows this, and a simple set of matrices decide which combinations are approved. Administrators and line managers can update their staff and venues in real time, even during the site visit!

For the student and their employer, TAMS can track their training history over time, notifying them of expiry dates, downloading copies of certificates, and keeping track of new offers.

Multi-language

TAMS is Unicode-aware, so both the web portal and the documents it produces can display in any language you choose to activate, from Czech to Chinese.

Unlimited flexibility

TAMS makes adding a new syllabus a 60-second job, and it's live as soon as you're done. Bespoke syllabuses can be assigned to a specific client, so they won't be visible to any other. Courses can be assessed, attendance-only, with or without expiry dates, stretch over several days or just an afternoon.

Inbuilt quality control

A training provider must ensure that the records they keep are accurate, as they are liable for the training they deliver. TAMS is based on the concept of "multiple pairs of eyes". A training administrator opens a course, and enters student names (or the client does it via their direct-access portal). The instructor checks those names on the printed course notes TAMS send out via email, and corrects any errors before entering the marks. Once issued, certificates and the courses they connect to are locked down, so in future anyone can search the database to verify a certificate or print a list of who's about to expire.

Business Analysis

TAMS uses the model of Client - Enquiry - Course. Each time someone asks for a quote, you enter the enquiry into the system in whatever stage it's at, and assign it to a user for the next step. As the enquiry builds into a quote, and the quote is accepted, users can work on the details from anywhere, at any time. TAMS can therefore report all manner of things, from the pass rate on a particular syllabus, to the workloads of each instructor or the conversion rate of enquiries started by a particular sales lead. TAMS does not handle invoicing and payment, as we know you will prefer to to that through your existing systems.

Theory, practical, online

TAMS manages bookings and certification for courses, but it doesn't care what those courses are about - you could be teaching theory-based course via an e-learning portal, or practical courses on a client venue.

Professional results

TAMS generates PDF certificates, joining instructions and staff notes in the native language chosen for that course or user. Any number of customized document templates can be used, based on the installation and the topic of the course, and every syllabus can be branded with one or more third-party logos, for example to indicate a certification body or training partner. The PDF documents are secured against alteration, and can be emailed directly to the client, creating a 100% paperless workflow (ideal for those with Federal customers!). TAMS can also talk to any other databases, and your public website can offer online certificate verification tools, so anyone can prove the certificates you issue are genuine. TAMS certificate templates can include QR codes so a paper copy can be verified instantly using any cellphone with a camera.

PHP-based with choice of hosting

TAMS is written entirely in PHP*, so you can modify and extend it however you wish. It's not public-domain but it is open-source, under the license terms. If you wish to install TAMS on your own website, you can buy the PHP package for a one-off price, and pay for any support or customization as required - your license never expires. If you prefer us to host it, we can do that for a small monthly fee, including support and updates. If you terminate your hosting contract at any time, we guarantee to provide a full backup copy of your database before you leave - and from within TAMS you can download that backup anytime you want.

*System requirements: PHP5.2 or later, MySQL 5.0 and SMTP server access, 100MB server space. Works in IE7+, Firefox 3+, Safari, Opera and Chome. PDF documents created by TAMS require Adobe Reader 7 or later, OS X Preview, or equivalent mobile app. TAMS does not use Flash. Compatible with SSL-protected servers.
